Courtesy Reply Mail

Courtesy Reply Mail is an envelope or postcard you have provided as a “courtesy” for the recipient of your mail to use when they “reply.” This is not to be confused with Business Reply Mail whereby a special permit is set up for the postage to be paid by the initial sender.

Important note: In accordance with the USPS Regulations, IF you want the best postage automation discounts for your outgoing mail, you must use the USPS approved design for your courtesy reply mail, which includes:

  • USPS approved Postnet Barcode
  • Special identification mark in the upper right known as a F.I.M.
  • Correct format for the reply address
  • No printing in a specific zone

Your main post office can generate USPS approved camera-ready artwork for your Courtesy Reply Mail. At this time, there is no charge.

The USPS has two websites for you to obtain all the necessary information to produce a USPS approved Courtesy Reply mailpiece. One site includes downloadable templates for the designer of your mailpieces.
